SHORT-TERM ACCESS (STA) CARD TERMS OF USE

Purpose

The purpose of this Terms of Use document is to enable the Short-Term Access (STA) program by defining the requirements for individuals and departments participating in the program.

The Short-Term Access program provides building access to visitors on campus who require short-term access (less than two weeks) AND employees who need to move into their office space prior to their start date WHEN such visitors or employees cannot access the Identity Privileges Office (IPO).

During the normal course of business, the Identity Privileges Office (IPO) should be used to request and receive University identity cards. However, the need for short-term access outside of the IPO’s business hours occasionally arises, and this policy and program accommodate such needs.

Requirements for visitors and new employees participating in the STA program

Program participants must be aware that:

  • the short-term access card is theirs alone to use, is not transferrable under any circumstance, and may not be lent to any other person.
  • it remains the property of the University
  • it must be shown when requested by University staff in performance of their duties
  • it must be returned to the department after it is no longer required

Each person with a Short-Term Access Card must also carry another form of government-issued photo identification at all times while at the University. This identification must be produced along with their Short-Term Access Card when requested by University staff in performance their duties.

Requirements for participating departments and business units

Each participating department and business unit will designate an STA Administrator. The STA Administrator will be responsible for data collection, issuing cards, informing card recipients of their responsibilities, receiving returned cards, and generally managing the cards including insuring their physical security.

The following information will be collected by the department’s STA Administrator from the Sponsor/Visitor:

  • Sponsor CNetID
  • ISO and RFID Numbers
  • First Name*
  • Last Name*
  • Birth Date*
  • Gender (M, F, U)*
  • Business Purpose*
  • Start Date*
  • Return Date *

*Stored locally with the department, not in the STA database.

Cards will be re-used by the department and are not specific to a person. The department can store the other information independently of the STA interface.

Participating departments are responsible for purchasing cards that they will issue under this program. The IPO may establish limits on the number of cards provided at any one time to participating departments.
